PURPOSES OF PROCESSING YOUR PERSONAL DATA

We need to collect, use, and store your personal data to administer engagement, to manage our organization, and to meet our legal obligations.  The type of data being processed will differ from the nature of the process and purpose. Sections below specifies the types of data collected, purpose and how we process your data.

HOW WE USE YOUR DATA WHEN YOU CONTACT US

If you email, phone or write to us we will record your contact details and your correspondence in order to provide a response to you.  When we use personal data in this way to support administration of the organization, in data protection terminology our lawful basis is ‘legitimate interest’.

HOW WE USE YOUR DATA WHEN YOU GET SUPPORT FROM US

If you or your family receive support from VOF, we will provide you with information about how we are going to use and manage your personal data that is specific to that situation.  This is usually when we collect the data from you, or when you start participating in a programme or activity.

The type of data that we collect will depend on the circumstances, but usually will include your contact details, your family or household situation, information about your employment or education, and information to help us to assess your needs and how we can support you.  Sometimes we may ask for information to confirm your identity.

We may ask to record your story or your child’s story through words, photo, film, or sound to tell people what life is like for children and their families, and to raise money and support for the work Veronica Onyeneke Foundation does.  We always ask for consent when we use personal data in this way.    If your story has been used and you have any questions about this, please contact info@verofoundation.org.

We also use your personal data when we monitor how our programmes are working, and to check on their impact.   Sometimes we carry out more in-depth research to identify improvements and to support our advocacy work in Africa.  If you are invited to take part in research, you will be provided with more detailed information on that separately.

We often work with other humanitarian organizations, and we may share information with them to make sure that support is delivered in the most effective way possible and is not duplicated.  If we are going to share your personal data with other organizations, we will let you know.

HOW WE USE YOUR DATA WHEN YOU ENGAGE WITH US ON SOCIAL MEDIA

Depending on the nature of the engagement, Veronica Onyeneke Foundation and the platform providers may process your personal data including your profile information, the content you provide, and your online activity and connections to reach you and identify other similar people like you on social media who we believe would be interested in Veronica Onyeneke Foundation, and  to show them Veronica Onyeneke Foundation content.

Our social media partners are Facebook, Twitter, Instagram, Tiktok and YouTube. Please read the privacy information on the relevant platform.  You should also be able to adjust your own account settings on each platform to manage data sharing, privacy and visibility.

HOW WE USE YOUR DATA WHEN YOU MAKE A DONATION

When you make a donation to Veronica Onyeneke Foundation, we use the personal data that you provide to process your payment and to keep a record of your support.  When we use personal data in this way to meet our charitable aims, in data protection terminology our lawful basis is ‘legitimate interest’.

We record your name and contact details, and the type and amount of your donation in our donor database and email management system.

We use a payment processing company called Paystack and flutterwave to take card payments on our behalf.   Paystack and flutterwave are compliant with Payment Card Industry Data Security Standards.

We will keep in touch with you by email from time to time to keep you up to date on the impact of your donation, the work we do for children, occasional emergency appeals and how to get involved through campaigning and petitions. You can choose not to receive these emails when you make your donation, and you can also ‘unsubscribe’ at any time by following the link in the emails.

We will not share your contact details with other organizations to use for their own marketing purposes without your prior consent.

We keep a record of financial transactions for a minimum of 7 years to comply with legislation. We keep other records on an ongoing basis to manage our relationship with you.  We keep data retention regularly under review.

HOW WE USE YOUR DATA WHEN YOU PARTICIPATE IN RESEARCH

When you participate in a research project being run or commissioned by us, we will provide you with detailed Participant Information . You will be given the time necessary to voluntarily agree to participate.

We may ask your consent to process your data or we may rely on another lawful basis depending on the nature of the study.  If we rely on consent, you can withdraw this at any time. We will explain how to do this in the Participant Information.

If we work with other individuals or organizations, such as universities, and information is shared about you, this will be on a need to know basis and we will inform you in the Participant Information given to you.  We will also explain how the research outcomes will be used and shared.

HOW WE USE YOUR DATA WHEN YOU WORK FOR US

Applicants and employees are provided with a separate Privacy Statement at the appropriate point in the recruitment process.  If you are a current employee, you will be able to access the full employee privacy notice on the intranet. If you are a past employee and you have any questions about your data please contact the Data Protection Officer by email to info@verofoundation.org clearly stating your question and previous employment details.

KEEPING YOUR PERSONAL DATA SECURE

Veronica Onyeneke Foundation implements measures to ensure that your information is kept secure.  We have a dedicated Information Security team which oversees technical measures to protect and monitor our IT systems, and ensures that access to personal data is controlled.  All of our staff undertake mandatory data protection and information security training.

When we engage other organizations to process data on behalf of Veronica Onyeneke Foundation we check that they have appropriate measures in place for data security, and we have contracts in place to ensure that they only act under our instructions.

We have systems and procedures in place to manage incidents which involve data, and we comply with requirements on data breach notification to regulators.

YOUR PERSONAL DATA RIGHTS

You have rights over your personal data.  You can ask us to:

• correct anything that isn’t accurate
• stop using your personal data (in some circumstances)
• delete your personal data (in some circumstances)
• give you a copy of your personal data

You can make a request at any time.  We will respond at the latest within one month.  If in exceptional circumstances we need longer to respond we will explain this to you.   If you make a request, we will usually ask you to provide some identification.

DATA SHARING

In some circumstances it may be necessary for us to share personal data with other organizations, for example to protect VOF from fraud.  If we are able to do so, we will be transparent about this.  There may be limited circumstances where that is not possible, for example if there are concerns about your welfare or the welfare of someone else, or if we need to comply with a legal obligation.

We will not share personal data with other organizations to use for their own marketing purposes without your prior consent.

DATA RETENTION

We will only keep your personal information for as long as it’s necessary to meet the purpose that it was gathered for and for related purposed, and in some cases to meet specific requirements set out in legislation or regulations.

INTERNATIONAL TRANSFERS

If the processing of your data involves transfer to a jurisdiction not recognized as providing an ‘adequate’ level of protection of personal data, we will identify an appropriate mechanism to safeguard your data and to comply with the Nigeria or other applicable legislation.

RECRUITMENT POLICY STATEMENT

This statement covers data protection for job applicants and referees. It is in addition to our Privacy Statement available on our website.

Job applications are made through this site to Veronica Onyeneke Foundation, a registered charity in Nigeria.

The personal information that you submit in your application will be used to evaluate and progress your application and to fulfil legal or regulatory requirements (if necessary).

HOW DO WE COLLECT YOUR INFORMATION?

We collect personal information directly from you when you submit a job application to Veronica Onyeneke Foundation using this site. Veronica Onyeneke Foundation accepts applications from any country in the world.

We may also request and receive information about you from third parties, such as Veronica Onyeneke Foundation’s Member organizations, your referees, your former employers, and providers of financial, criminal and other security background checks (including against sanctions lists).  In particular, if you have previously been employed by a Veronica Onyeneke Foundation Member organization or in the INGO sector in general, information about your previous employment may be disclosed to us for safeguarding purposes.

• The information included in your application and submitted through the Applicant Tracking System on this website, including any self-declarations relating to criminal or disciplinary conduct relevant to your employment at Veronica Onyeneke Foundation prior to this application;

• Information about you received through references (including recommendations for or against hire by former employers or any statements of conduct), background checks (including any criminal records or against sanctions lists or media reports).

DO WE PROCESS 'SPECIAL CATEGORY’' PERSONAL INFORMATION?

In certain countries, we process sensitive personal data relating to race/ethnicity, religion and/or disability for equal opportunities monitoring purposes (and, with respect to information regarding disabilities only, to assess suitability for particular jobs and to consider whether adjustments may need to be made to accommodate an applicant with a disability). Under our current internal policies, we do not share diversity data with hiring managers and keep such data anonymized.  We may use information you or third parties provide about criminal allegations, proceedings or convictions or any former disciplinary proceedings relating to sexual misconduct as part of our background and reference checks and to ensure that we do not employ staff or volunteers who constitute safeguarding risk.  This sensitive personal data and criminal offence data will be processed in accordance with Veronica Onyeneke Foundation’s applicable data protection policy.How do we use your information? 

Veronica Onyeneke Foundation may use your information in a number of ways, including:

by the SAVE THE CHILDREN INTERNATIONAL internal HR department and the relevant hiring manager(s), to assess your suitability for employment, including taking up references,

following the start of employment, for personnel administration, management and other reasons of which we will separately notify you,

to perform appropriate background checks, including to ensure that we do not employ staff or volunteers who constitute safeguarding risk, and

to monitor recruitment statistics.

With your consent, we may also share your personal data with other Veronica Onyeneke Foundation entities if we believe that you may be suitable for a role at those entities.

HOW DO WE PROTECT YOUR PERSONAL INFORMATION?

Although we use appropriate security measures once we have received your personal information, the transmission of information over the internet is never completely secure. We cannot accept responsibility of unauthorized access or loss of personal data due to the circumstances beyond our control.

The personal data you provide will be kept for an initial period of six months, at which point we will contact you to ask if you would like for us to delete your application. If you do not request us to delete your application, we will continue to hold your personal data for successive six-month periods, up to a maximum of two years unless we use such data, and may contact you for future employment opportunities.

If your application is successful and you commence employment, the personal information collected as part of the recruitment process that is pertinent to your employment will be electronically transferred from the recruitment system to our HR system.

WHY DO WE PROCESS YOUR PERSONAL INFORMATION?

Processing of your personal data for this purpose is necessary for Veronica Onyeneke Foundation’s legitimate interests in recruiting appropriately qualified personnel, including conducting appropriate background checks. Some processing may also be necessary so that we can perform a contract with you or because it is required by law.
